Privacy statement Events

For events that we organize, we may collect personal data such as names, contact details, photos and attendance at an event. This data can be collected through registration forms/systems, registrations, visual material such as photos and videos taken during events, or other means of communication.

Why do we process your personal data?

We may process your personal data for the following purposes:

Registration and management of event participants.

Communication with participants about the event and related information.

Documentation, archiving and reporting of the event, including visual material for internal and external communication purposes, a historical record of the development of Eindhoven Airport and the ability to look back on past events and activities.

We do not use your data for other purposes.

We process your personal data:

based on your consent, to the extent possible. You can withdraw your permission at any time by sending an email to privacy@eindhovenairport.nl. If you are accidentally recognizable on Eindhoven Airport images, you can also send an e-mail to the above-mentioned e-mail address with a request to have the images removed or deleted.

because we have a legitimate interest in processing personal data, such as recording and promoting our business activities.

because we have a legitimate interest in documenting the history, development, and activities of Eindhoven Airport, we may include photographs and video recordings with particular historical, cultural, or communicative value in our corporate archives. This concerns visual material that is relevant for future communications, documentation, and the preservation of significant events.

Visual material at events

During events at Eindhoven Airport, photographs and videos may be taken by designated photographers or employees of the organization. These photos may capture individual guests, employees and the atmosphere of an event. Where possible, we will ask for your permission when processing your personal data on visual material. If you yourself actively stand in front of the camera for a photo or video, you agree to be recorded on Eindhoven Airport visual material and its possible publication. If it is not possible to take photos and videos on the basis of your consent, then we will rely on Eindhoven Airport's legitimate interest to record our business activities. In this context we will do the following to safeguard your privacy:

We will only publish footage where people are not recognizable.

We will inform participants of the presence of a photographer at registration or at the entrance to an event.

We will only allow participants of the event access (for a limited period of time) to visual material with recognizable people.

If photographs are taken of children under the age of 16, we will seek permission from their parent(s) and/or guardian(s). If asking permission is not possible, we will centrally announce that pictures will be taken within a certain time frame, so that children who do not want or are not allowed to be photographed can go to another part of the event.

How long do we keep your data?

Data will be kept as long as necessary for the purposes described above. Data for registration and management of event participants and communication purposes will be deleted no later than two weeks after the event has taken place. Data for documentation and reporting of the event, such as visual material, may be kept for up to 7 years after the event. If we wish to keep visual material in which persons are recognizable, we will ask the persons concerned for permission.

If, in the opinion of Eindhoven Airport, visual material has particular historical, cultural, communicative, or archival value, it may be retained for a longer period, including for an indefinite duration. Eindhoven Airport periodically assesses whether the continued retention of such visual material remains necessary and justified. In doing so, due consideration is given to the interests and rights of the individuals concerned.

With whom do we share your data?

Eindhoven Airport uses event management software from a third party. Your data may be shared with the supplier of this software who has been engaged by Eindhoven Airport to process personal data for registration and management of event participants and communication purposes. We have entered into a processing agreement with this party in order to protect your data.

If you are employed by one of Eindhoven Airport’s partner organisations and have registered for an event intended for partner companies, we may share your first and last name with your employer to verify that you are indeed employed by the organisation you specified. We do this to ensure that our events are accessible only to employees of partner organisations and to prevent unauthorised participation. In addition, we may inform your employer of your registration for an Eindhoven Airport event or activity, so that the organisation is aware of the participation of its employees.

Do we process personal data outside the European Union?

Eindhoven Airport processes personal data as much as possible within the European Union. Eindhoven Airport may engage a processor who delivers services whereby data are processed in countries outside the European Union. We do this only in a manner that complies with the requirements of the General Data Protection Regulation.
